Refund Policy
Also Coder cancellation, refund and revision policy for web development and software projects.
This Refund Policy explains how Also Coder handles cancellations, refunds and disputes for paid projects and services. It supplements our Terms of Service and any signed proposal or invoice.
1. General principle
We aim to be fair and transparent. Refund eligibility depends on project stage, work already completed and costs already incurred (including third-party purchases on your behalf).
2. Before work starts
If you cancel before we begin active development or design work:
- Advance payment — refundable in full minus any non-refundable third-party costs already paid (e.g. domain registration, stock licences, paid API credits) and payment gateway fees where applicable
- Refunds are processed within 7–14 business days to the original payment method
Inform us in writing at hello@alsocoder.com to initiate cancellation.
3. After work has started
Once design, development or discovery work has begun, refunds are partial and calculated as follows:
| Stage | Typical refund treatment |
|---|---|
| Discovery / wireframes in progress | Advance minus hours logged + third-party costs |
| Design approved, development not started | Milestone 1 retained; unused balance refundable |
| Development in progress | Refund only for undelivered milestones minus WIP charges |
| Project delivered & accepted | No refund for completed work; support issues handled separately |
"Work in progress" (WIP) is billed at the agreed hourly rate or pro-rata milestone value documented in your proposal.
4. Fixed packages vs custom scope
Fixed packages (e.g. starter website, landing page)
- Cancelling after kickoff but before first draft delivery: up to 50% of package fee may be retained for planning and allocation
- After first draft delivery: no refund on completed design/development phases; undelivered add-ons may be refunded
Custom / enterprise projects
- Refunds follow the milestone schedule in your signed SOW
- Completed and approved milestones are non-refundable
- Disputed quality issues must be raised before final sign-off; we offer reasonable revision rounds as per agreement
5. Revisions and dissatisfaction
We include revision rounds as stated in your proposal. If you are unhappy with deliverables:
- Provide specific, actionable feedback within the revision window
- We will revise within agreed scope at no extra charge
- Refunds are not issued solely because subjective design preferences differ from expectations when work matches the approved brief
If we fail to deliver agreed scope after good-faith revision attempts, we will discuss partial refund or completion credit.
6. Third-party and non-refundable items
The following are typically non-refundable once purchased:
- Domain names, hosting pre-payments, SSL and server setup
- Stock photos, fonts, plugins or SaaS subscriptions bought for your project
- App store developer account fees, payment gateway setup charges
- Subcontractor or specialist fees already committed
These are either transferred to you or documented as expenses in any refund calculation.
7. Subscriptions and retainers
Monthly maintenance, hosting management or retainer plans:
- Cancel anytime with 15 days' written notice before the next billing cycle
- Current billing period is non-refundable once the period has started
- Unused prepaid hours may roll over only if explicitly stated in your retainer agreement
8. Chargebacks and payment disputes
Please contact us before initiating a chargeback. We will work in good faith to resolve issues. Unjustified chargebacks after delivery and acceptance may result in suspension of support and recovery of costs.
9. How to request a refund
Email hello@alsocoder.com with:
- Project name and invoice number
- Reason for cancellation or refund request
- Preferred resolution (full/partial refund, pause, credit)
We respond within 3–5 business days with a breakdown of eligible refund amount.
10. Exceptions
Nothing in this policy limits your statutory rights under applicable consumer protection laws in your jurisdiction where those rights cannot be waived by contract.
